Using Global Search

Making sure your content gets found

The Global Search feature appears at the top of every page on Twine and it's and popular way of finding content and navigating around. 

As an admin or content writer it's important to know how Twine's search works and what it prioritises, so you can label content correctly. With that in mind, below are the details of what is searched for each app, listed in order of how they are weighted in the search engine: 

Knowledge
Titles, tags, keywords, content body, categories, author name

People
Name, job title, department, office, URL

Groups
Name, URL

Forms
Name, type, URL

Blog
Title, tags, content body, author name, URL

If content is restricted (e.g. knowledge categories, forms, unpublished posts), it will only be seen in search by users who have access.

Understanding Keywords & Tags

Tags

Tags show up in search and appear as labels at the bottom of items. You can add a tag to a knowledge item when creating or editing an item. You can manage which tags exist by going to Settings > Tags.

Tags are a good way to structure your content, ensuring that similar content is grouped together using consistent wording.

Keywords

Keywords will be recognised in search, but will not be visible to users. They can be useful for including important words that appear in attachments, but do not occur frequently enough to warrant a tag.

Unlike tags, keywords cannot be configured from a settings page. Care should therefore be taken to make sure that they are consistent. Used sparingly, they are a useful tool when a tag isn't necessary, or when you don't wish users to see the keyword.
